This page explains what Printers & Ink Solutions collects through printersandinksolutions.com and our customer portal, why we collect it, who we share it with, and how long we keep it. We don't sell personal information.
What we collect, and why
- Quote and contact requests: your name, company, email, phone, topic and message. We use them to answer you. Each request is emailed to us and kept in our mailbox.
- Order requests: the items you ask for, and your delivery or shipping address if you give one. We use them to price and fulfil the order. Each request is emailed to us and kept in our mailbox.
- Business account applications: company and contact details, accounts-payable email, tax ID, and a tax-exemption certificate if you upload one. We use them to set up net-terms or tax-exempt accounts. Certificates are stored as files on our access-controlled server, where only our staff can open them, and every download is logged; they are encrypted in our backups. Applications store only a one-way scrambled form of your IP address, which can't be turned back into the address.
- Customer portal accounts: if we approve your application, your name, email, the locations and people on your account, your printers, your contract prices and your orders are held in our customer portal. You sign in with a code we email you, or with a passkey if you set one up. We use this to take and track your orders at your agreed prices.
- Sign-in and activity records: when you request a sign-in code, we record the IP address it was requested from. When you or our staff change something on your account, our activity log records who did it, when, from which IP address and browser, and what changed. We use these records to spot misuse and to show who did what.
- Form abuse limits: to stop abuse of the quote and order forms, our server keeps a one-way scrambled form of your IP address for up to an hour, which can't be turned back into the address.
Shopping cart and checkout
Your cart is held by Shopify, which runs our checkout and takes payment. We never see your full card number. Shopify's own privacy policy covers what you enter at checkout. If you tell us which printer an item is for, that note travels with your order so we pack the right supplies.
Stored on your own device
The site remembers your cart, the last few printers you looked up, and a copy of the cartridge finder so it works offline. All of this stays in your browser, and you can clear it by clearing this site's data. The site sets no advertising cookies and runs no analytics.
Services we use
- Shopify: cart, checkout, payments and retail customer accounts.
- Hostinger: hosts this website and our customer portal, on a server in Phoenix, Arizona, USA.
- Postmark: delivers our transactional email — form requests, sign-in codes and order notices.
- DreamHost: holds encrypted copies of our backups, which only we can decrypt.
- Microsoft 365: our email, where quote and order requests arrive.
- Google Fonts: the typefaces on this site are loaded from Google's servers, which see your IP address when the page loads.
Each of them handles data under its own privacy terms. We share your details with no one else, except where the law requires it. Your data stays in the United States.
How long we keep it
| What | How long |
|---|---|
| Quote and order request emails | Kept in our mailbox as part of our business records. |
| Form abuse limits (scrambled IP) | Up to one hour. |

| Account activity log | Kept as a business record for as long as the account's orders are. |
| Orders and invoices | As long as Florida tax and business-record rules require. |
| Backups | Encrypted copies are kept for 14 days on our server and 30 days off-site, then deleted. |
Your choices
You can ask us to see or correct what we hold about you, or to close your account. Call (850) 325-6435, email info@printersandinksolutions.com, or write to 2695-5 Capital Cir NE, Tallahassee, FL 32308. If you ask us to remove your data, we will remove the account details we are not required to keep; orders, invoices, tax certificates and the activity log are business records, and we keep them for as long as the law and our record-keeping require. Removal is done by hand, so please allow up to 30 days.
Children
This site is for businesses and adults buying printer supplies. It isn't meant for children under 13, and we don't knowingly collect their information.
Changes
If we change this policy, we'll update the date at the top of this page.
